Welcome to MedBill Pro. These Terms and Conditions ("Terms") govern your use of our website, services, and platforms provided by MedBill Pro ("Company," "we," "us," or "our"). MedBill Pro is a leading provider of medical billing, revenue cycle management, and healthcare administrative services designed to assist healthcare providers in optimizing their revenue streams and operational efficiency.

2. Services Description

MedBill Pro provides the following services:

  • Medical Billing Services: End-to-end billing management including claim submission, follow-up, and reimbursement processing.
  • Medical Coding Services: Professional ICD-10 and CPT coding for accurate claim submissions.
  • Denial Management: Root cause analysis and appeal management for denied claims.
  • Revenue Cycle Management: Complete RCM solutions from patient registration to final reimbursement.
  • Charge Posting: Timely and accurate charge entry and posting to patient accounts.
  • Accounts Receivable Services: AR aging analysis, collection management, and financial reporting.

All services are provided in accordance with applicable healthcare regulations, HIPAA requirements, and industry best practices.

3. User Responsibilities

As a user of MedBill Pro services, you agree to:

  • Provide accurate, complete, and current information about your healthcare organization and patients.
  • Maintain the confidentiality of all login credentials and access information.
  • Ensure that all individuals accessing our services are authorized by your organization.
  • Use our services only for lawful purposes and in compliance with all applicable laws and regulations.
  • Not engage in any activity that could compromise the security or integrity of our systems.
  • Promptly notify us of any unauthorized access or security breaches.
  • Review and reconcile all processed claims and reports regularly.

4. Intellectual Property Rights

All content, materials, software, designs, and services provided by MedBill Pro, including but not limited to text, graphics, logos, images, and interactive features, are the exclusive property of MedBill Pro or our licensors and are protected by applicable copyright, trademark, and intellectual property laws.

You are granted a limited, non-exclusive, non-transferable license to access and use our services solely for your organization's internal business purposes. You may not:

  • Reproduce, modify, or create derivative works of our content or services.
  • Distribute, sell, rent, or lease our services to third parties.
  • Remove or alter any copyright, trademark, or proprietary notices.
  • Use our trademarks without prior written consent.

5. Limitation of Liability

TO THE FULLEST EXTENT PERMITTED BY LAW, MEDBILL PRO SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING OUT OF OR RELATED TO YOUR USE OF OUR SERVICES, EVEN IF MEDBILL PRO HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

Our total liability for any claims arising from your use of our services shall not exceed the total amount paid by you for services in the twelve (12) months preceding the claim.

Some jurisdictions do not allow the exclusion or limitation of certain damages, so this limitation may not apply to you.

6. Confidentiality & HIPAA Compliance

HIPAA Compliance: MedBill Pro maintains comprehensive compliance with the Health Insurance Portability and Accountability Act (HIPAA) and all related regulations. We maintain appropriate administrative, physical, and technical safeguards to protect the privacy and security of all Protected Health Information (PHI).

Data Protection: All patient information and healthcare data shared with MedBill Pro is treated as confidential and is protected under applicable privacy laws. We implement industry-standard encryption, secure access controls, and regular security audits.

Business Associate Agreement: A signed Business Associate Agreement (BAA) is required for all service relationships and will be executed prior to the exchange of PHI.

Data Breach Notification: In the event of any unauthorized access to patient data, MedBill Pro will notify you within 24 hours and will cooperate with all required breach notification procedures.

7. Termination

Termination for Convenience: Either party may terminate the service agreement with thirty (30) days written notice.

Termination for Cause: MedBill Pro may terminate services immediately if you:

  • Violate these Terms or applicable healthcare regulations.
  • Engage in fraudulent or illegal activities.
  • Breach the confidentiality or security requirements.
  • Fail to pay applicable fees within thirty (30) days of invoice.

Effect of Termination: Upon termination, your access to our services will be immediately revoked. We will securely return or destroy all patient data and confidential information in accordance with HIPAA requirements.

8. Modifications to Terms

MedBill Pro reserves the right to modify these Terms and Conditions at any time. We will notify you of any material changes via email or by posting the updated Terms on our website. Your continued use of our services following the posting of modified Terms constitutes your acceptance of the modifications.

We recommend reviewing these Terms periodically to remain informed of any changes.
